Terms & Conditions - The Basics
These Sponsorship Terms and Conditions apply to all businesses, organizations, and individuals participating as sponsors of Suwannee Lights at Spirit of the Suwannee Music Park & Campground.
1. Sponsorship Inquiries
Submitting a sponsorship inquiry form does not guarantee acceptance, availability, placement, or exclusivity. A sponsorship becomes confirmed only after the sponsor receives written approval, completes any required agreement, and submits payment.
2. Payment
Full payment must be received by the deadline listed on the sponsorship agreement or invoice. Sponsorship benefits, advertising, banner production, and placement may be delayed or canceled if payment is not received on time.
Additional design, printing, production, shipping, installation, or replacement costs may apply when those services are not included in the selected sponsorship package.
3. Artwork and Materials
Sponsors must provide logos, advertisements, and other artwork in the requested format and by the stated deadline. Submitted artwork should be high-resolution and suitable for its intended use.
Sponsors are responsible for confirming that all names, logos, contact information, promotional wording, and other supplied content are accurate.
Suwannee Lights may reject or request changes to artwork or messaging considered inappropriate, misleading, offensive, unlawful, political, unsafe, or inconsistent with the event’s family-friendly atmosphere.
If artwork is received after the deadline, Suwannee Lights cannot guarantee that all included sponsorship benefits will be completed before the event opens.
4. Use of Sponsor Branding
By submitting a logo, advertisement, photograph, or other branded material, the sponsor confirms that it owns the material or has permission to use it.
The sponsor grants Suwannee Lights and Spirit of the Suwannee Music Park & Campground permission to reproduce and display the submitted materials for event-related advertising, signage, websites, social media, email marketing, promotional materials, and sponsor recognition.
This permission is limited to promoting Suwannee Lights and recognizing the sponsor’s participation.
5. Banner Production and Placement
Banner locations are determined by Suwannee Lights based on visibility, safety, available space, traffic flow, installation requirements, and the overall guest experience.
Specific locations, viewing distances, lighting conditions, or placement near a particular display are not guaranteed unless included in a written sponsorship agreement.
Banner appearance may be affected by weather, trees, lighting, passing vehicles, installation conditions, or other environmental factors. Suwannee Lights may move, temporarily remove, repair, or replace signage when necessary for safety or event operations.
Unless otherwise agreed in writing, banners and other sponsor materials may not be returned after the event.
6. Sponsorship Benefits
Benefits vary by sponsorship package and are limited to those listed in the sponsor’s written agreement.
Estimated attendance, website traffic, social media reach, impressions, or other promotional figures are projections only. Suwannee Lights does not guarantee a specific number of views, customers, sales, leads, engagements, or financial results.
Sponsorship does not include category exclusivity or prevent competing businesses from participating unless exclusivity is specifically included in writing.
7. Sponsor Promotions and On-Site Activities
All displays, giveaways, product samples, signs, personnel, equipment, and on-site activations require advance approval.
Sponsors are responsible for obtaining any permits, licenses, insurance, staffing, equipment, and approvals required for their activities. Sponsors must follow all event rules, safety requirements, and instructions provided by Spirit of the Suwannee Music Park & Campground.
Items that are illegal, dangerous, inappropriate for families, or disruptive to guests may not be distributed, displayed, or promoted.
8. Event Changes
Event dates, hours, routes, displays, activities, and operating procedures may be changed because of weather, safety concerns, government requirements, emergencies, maintenance issues, or circumstances beyond the reasonable control of Suwannee Lights.
When possible, reasonable efforts will be made to provide comparable sponsor recognition if a scheduled benefit must be changed.
9. Sponsor Cancellations and Refunds
Cancellation requests must be submitted in writing.
Payments may become nonrefundable once artwork, printing, production, advertising, installation, or other sponsorship services have begun. Any approved refund or credit will be determined according to the sponsor’s written agreement and the costs already incurred.
Failure to submit artwork or other required materials by the deadline does not automatically qualify the sponsor for a refund.
10. Event Cancellation
If Suwannee Lights is canceled or substantially interrupted because of severe weather, natural disaster, government action, emergency, utility failure, public-safety concern, or another circumstance beyond the event’s reasonable control, the available remedy will be determined by the written sponsorship agreement.
Depending on the circumstances and benefits already delivered, Suwannee Lights may offer replacement recognition, a future-event credit, a partial refund, or another reasonable solution.
11. Conduct and Removal
Suwannee Lights may remove a sponsor, advertisement, display, or representative whose conduct or materials violate these terms, create a safety concern, disrupt event operations, damage property, misrepresent the sponsorship relationship, or harm the reputation of Suwannee Lights or Spirit of the Suwannee Music Park & Campground.
Serious violations may result in termination of the sponsorship without a refund.
12. Responsibility for Property
Sponsors are responsible for their own equipment, merchandise, signage, materials, and personal property. Suwannee Lights and Spirit of the Suwannee Music Park & Campground are not responsible for loss, theft, weather damage, vandalism, or damage caused by third parties, except where responsibility cannot legally be excluded.
Sponsors are responsible for damage or injury caused by their personnel, materials, displays, products, or activities.
13. No Partnership or Endorsement
A sponsorship does not create a partnership, joint venture, employment relationship, agency relationship, or official endorsement between the sponsor, Suwannee Lights, and Spirit of the Suwannee Music Park & Campground.
Sponsors may describe themselves as a sponsor only during the approved sponsorship period and in accordance with any provided brand guidelines.
14. Acceptance of Terms
By signing a sponsorship agreement, submitting payment, or participating as a sponsor, the sponsor confirms that it has reviewed and accepted these terms.
If these general terms conflict with a signed sponsorship agreement, the signed agreement will control.
